PDF vs Word: Which Format Should You Use?

Sending the wrong file format wastes everyone's time — either the recipient cannot edit what they need to edit, or your careful layout falls apart on their screen.

The core difference

A Word document describes content and rules: this paragraph uses this style, this heading breaks here if there is room. The final appearance is calculated on whichever machine opens it, using whichever fonts that machine has.

A PDF describes a finished page: this glyph, at this position, in this embedded font. It looks the same everywhere, which is exactly why it resists editing.

Send a PDF when

The document is final, appearance matters, or it will be printed or archived. Contracts, invoices, CVs, reports, brochures and anything with a specific layout should be PDFs. You also get watermarking, page numbering and signature placement as finishing steps.

Send a Word file when

Someone needs to edit, comment or continue the document — drafts, templates, collaborative reports. Sending a PDF to a colleague who must revise it just creates a conversion round trip.

About converting between them

Word to PDF is reliable because Word already knows the layout. PDF to Word is the hard direction: the structure is gone, so any converter is reconstructing paragraphs from positioned glyphs. Results range from decent to unusable depending on the document.

Is PDF more secure than Word?

PDF supports encryption and signatures, but an unprotected PDF is not inherently more private than an unprotected DOCX. Security comes from how the file is protected and shared, not the format alone.

Can PDFs be edited at all?

Yes, within limits — text and images can be stamped on, pages reorganised, forms filled. Rewriting body text with reflow is a different matter.
